ChatGPT can prepare and submit a fax through a connected DearFax MCP server. You provide the document and recipient; DearFax handles fax transmission after you review and confirm the send. A message saying the fax is queued is not a delivery confirmation.
Connect DearFax to ChatGPT
Start with the current ChatGPT connection instructions. For a custom connection, use this MCP server address and OAuth authentication:
https://app.dearfax.com/api/mcp
Sign in to DearFax and approve the permissions needed to prepare drafts, send faxes, and read delivery status. Approving account access does not send a document. Keep ChatGPT’s action approvals enabled.
Ask ChatGPT to list your DearFax workspaces, then choose one explicitly. If your work account has several workspaces, check the name before continuing. See OpenAI’s plugin setup documentation if your account’s connection controls differ.
Attach the document you want to fax
Attach the finished PDF to the conversation and select DearFax for the task. ChatGPT’s selected-file transfer must be available for the connection; an attachment visible in the conversation does not by itself prove DearFax received it.
Open the PDF first. Check names, dates, signatures, and page order. If ChatGPT helped write it, review the exported file as carefully as any other document. DearFax accepts supported PDFs and images, up to 20 MB per file and 350 pages per fax, including the cover.
Use a prompt like this, replacing the bracketed details:
In my [workspace name] DearFax workspace, prepare a fax using the attached PDF for [recipient name] at [verified fax number]. Add this cover message: [message]. Show me the recipient, attached files, page count, and sending number. Do not send until I confirm.
Sending currently supports US and Canadian destinations. Use the number supplied by the recipient, including its country code; do not ask ChatGPT to guess it.
Review the saved fax before confirming
Check the review returned by DearFax, especially the destination, filenames, total pages, cover message, and sender. Use the draft’s authenticated editor link if you need to inspect the document preview in your browser.
Ask for corrections before confirming. Changes to the draft require a fresh review. Reviews expire after ten minutes, so request another if you return later.
Once the details are correct, explicitly confirm that ChatGPT should send the reviewed fax. Your workspace’s existing plan, page allowance, and sending eligibility apply; connecting an assistant does not provide extra pages.
Check whether the fax was delivered
Ask ChatGPT to check the status of the same fax. Keep its fax ID so you can refer to it again. Queued and Sending mean the transmission has not yet been confirmed as delivered.
After delivery, ask for its delivery receipt. Delivered means the receiving fax system confirmed the transmission; it does not establish that someone read or accepted the document.
If a tool times out, check the existing fax before requesting another send. Creating a second draft can send a duplicate. If ChatGPT blocks an action, open the saved draft in DearFax, review it, and complete the task there.
If the connection or attachment fails
Check whether MCP access is enabled under DearFax’s account integration settings and whether you selected the right workspace. Reconnect if permissions have changed. If ChatGPT cannot transfer your selected file, upload it through the draft’s DearFax editor instead; do not make a sensitive document public to work around an attachment problem.
For receiving workflows, see how to summarize incoming faxes in Slack. That workflow needs a persistent automation runner, rather than an open conversation waiting for a fax.
