How to send a fax with Gemini

Prepare a document in Gemini, save a final PDF, and send it to a fax number through DearFax.

Use Gemini to help prepare your document, then send the finished PDF through DearFax. This guide covers the Gemini app and a browser handoff. It does not assume that Gemini has a direct DearFax connection or can transmit a fax from your conversation.

Prepare the document in Gemini

Start with your completed document or the facts you want to include. If your account offers file uploads, attach the relevant source. Ask Gemini to help with a specific task rather than recreate information from memory:

Draft a short supplier enquiry using these product codes and quantities: [details]. Keep those values unchanged. Ask me about missing information instead of filling it in. Keep your review notes separate from the letter.

Check the response against the original facts. For a completed form, use the existing file where possible; a summary is not a substitute for the pages the recipient asked you to send.

Save the finished pages as a PDF

If Gemini gives you a downloadable PDF, download and open it. Otherwise, use Export to Docs where available, or copy the approved text into your document app. In Google Docs, finish your edits and download a PDF through File → Download → PDF Document.

Google describes response exports in its Gemini export guide. Available controls can differ by account and device. Export the finished document rather than a share link to the whole conversation.

Review the saved file for missing fields, required signatures, page breaks, and legibility. Remove drafting notes or prompts that should not reach the recipient. If a table is clipped, fix the source and export again before faxing.

Upload the PDF to DearFax

Open DearFax’s fax composer and select the saved PDF. Wait for the document preview, then compare it with the file you checked.

DearFax accepts supported PDFs and images up to 20 MB per file. A fax can contain up to 350 pages including its cover. You can add supporting documents when needed; check the final page order.

Enter the recipient’s verified fax number, including the country code. DearFax currently sends to US and Canadian destinations. Use the number from the recipient’s instructions, not a number Gemini inferred from an organization name.

Add a cover and confirm the fax

Use a brief cover message to identify the person or department and the relevant reference number. If the uploaded document already includes the requested cover, remove any extra cover you do not need.

Sign in or create an account when prompted. Saving a document in Gemini and preparing a draft in DearFax do not send it. Review the destination, pages, cover, and sender, then complete DearFax’s send confirmation.

Check delivery in Sent

Follow the fax in DearFax’s Sent view. Queued and Sending mean delivery is not yet confirmed. Delivered means the receiving fax system confirmed the transmission, not that a person read or accepted the document.

If the page disconnects after you confirm, inspect the existing fax before creating a second copy. A timeout does not establish failure. Review a failed fax’s status and destination before retrying.

Can Gemini send through DearFax directly?

This walkthrough does not establish a direct connection for the Gemini app. Remote MCP features in other Google developer tools do not automatically apply to your Gemini conversation.
