How to send a fax with Microsoft Copilot

Use Microsoft Copilot to prepare a document, save a finished PDF, and send it through DearFax.

You can use Microsoft Copilot to help prepare the document you need to fax, then send the finished PDF through DearFax. This guide uses a browser handoff: it does not assume that your Copilot chat has a direct DearFax connection or can transmit a fax itself.

Microsoft Copilot, Microsoft 365 Copilot, GitHub Copilot, and Copilot Studio are different products. This walkthrough is for preparing a document with Microsoft Copilot and completing the fax in DearFax.

Start with the document or facts you already have

If your Copilot account offers file uploads, attach the document you want help reviewing. Microsoft describes the available upload flow in its Copilot file guide.

For a new letter, provide the approved facts and ask for a draft:

Draft a short letter to [recipient] about [purpose], using only these facts: [facts]. Keep names, dates, and reference numbers unchanged. List anything missing separately so I can fill it in before faxing.

Use the response as a draft. Check it against the original information rather than assuming a polished sentence is accurate. If you already have a completed form, avoid rewriting it; use Copilot to identify questions you need to resolve before sending.

Save a final PDF

Move the approved text into your document app, complete any required fields or signatures, and save or export a PDF. If your Copilot surface creates a downloadable document, open the downloaded version and check it before continuing.

Look for cut-off tables, missing pages, small print, and comments that should not be included. A fax sends document pages, so the saved file matters more than how the conversation looks.

DearFax accepts supported PDFs and images up to 20 MB per file, with a maximum of 350 pages per fax including the cover. The PDF fax guide explains how to prepare the file.

Upload the PDF to DearFax

Open DearFax, choose the file, and wait for the page preview. Compare it with the final PDF you reviewed. Add supporting documents only if the recipient requested them, and check their order.

Enter the recipient’s verified fax number, including the country code. DearFax currently sends to US and Canadian numbers. Use a number from the recipient’s instructions rather than asking Copilot to guess or infer one.

Add a cover message naming the recipient or department and the relevant reference. Avoid duplicating a cover sheet already included in the uploaded document.

Review and confirm sending

Sign in or create your account when prompted. Preparing the document in Copilot and creating a DearFax draft do not send the fax.

Review the destination, pages, cover, and sender in DearFax, then complete the send confirmation. Your workspace’s existing sending eligibility and page allowance apply; see pricing for current plans.

Check delivery in DearFax

Follow the fax in Sent. Queued and Sending are not final delivery confirmations. Delivered means the receiving fax system confirmed the transmission; it does not establish that the recipient read or accepted its contents.

If you lose the browser connection, reopen Sent and inspect the existing fax before starting again. For a failed fax, check the failure information and recipient number before deciding whether to retry.

Can Copilot send the fax directly?

This guide does not establish a direct DearFax integration for Microsoft Copilot. A custom agent connection would need its own verified authentication, file-transfer, tool-approval, and sending workflow. Support in one Microsoft product does not establish support in another.
